Job Description
OBJECTIVE/ PURPOSE OF THE JOB:
The purpose of this role is to support the efficiency and effectiveness of the sales function by managing end-to-end coordination of sales operations, from order processing to delivery and reporting. The position ensures accurate execution of sales transactions, maintains strong communication between sales, logistics, procurement, and finance teams, and provides administrative and analytical support to drive timely order fulfillment, customer satisfaction, and informed business decisions. It also focuses on tracking performance, supporting tender and quotation processes, and maintaining organized documentation while ensuring compliance with company policies and standards.
KEY RESPONSIBILITIES:
- Assist the sales team in execution of back-office sales related transactions such as invoicing et cetera.
- Coordinating the sales team by managing schedules, sales orders.
- Handle the system processing of all sales orders creation with ensuring they are processed according to customer requirements and delivered on time.
- Maintain sales related trackers and generates report as requested by the sales team.
- Tracks of sales closure. Review invoices and prepares daily sales report
- Monitor item movements and provides relevant reports as request by the business.
- Filling important documents and communicating with relevant information and assists in contract documentation.
- Work closely with the supply chain team to ensure timely delivery of sales order. Performs necessarily follow up and escalate for delayed orders.
- Provides office services by implementing administrative systems, procedures.
- Ensure the adequacy of sales related equipment or material.
- Customer communication to acknowledge receiving purchase orders, arrange delivery schedule and to inform clients of unforeseen delays or problems.
- Respond to complaints from customers and give after-sales support when requested.
- Handle the communication with warehouse and logistic team regarding items availability and proceeding with delivery.
- Coordination with finance shared services to release sales orders.
- Arrange with procurement team for purchase orders and purchase requisition creation.
- Follow up all pending orders with procurement and logistic team.
- Assist with the preparation of petty cash claims.
- Track and maintain cash sales records, and processing sales orders.
- Organize, maintain and track all internal sales related documents
- Track quotation, offers submitted to clients using a central database
- Tracking all official purchase orders and coordinates with logistics officer and sales department if needed.
- Coordinate with different departments and compile all documents, catalogues, etc for submission
- Buy and submit new tenders for government hospitals and private clinics
- LPO tracking and follow up deliveries schedule
- Search for opportunities to participate for tenders and quotations.
Skills
JOB REQUIREMENT
- Bachelor of Science degree in Business or related field
- Minimum 3-4years’ experience in sales or related environment with 2 years’ background in medical industry is a preference
- Transferable Visa with NOC
- Excellent communication, both written and verbal, skills required.
- Proficient computer abilities for Microsoft Office products.
- Strong organizational skills.
